Job Description

We are currently seeking a dynamic MASSACHUSETTS CHILD PSYCHIATRY ACCESS PROGRAM (MCPAP) PROGRAM SPECIALIST to join our team at our office in Boston, MA.  The MCPAP PROGRAM SPECIALIST functions as an active member of the Central Administration Team, fully participating in the planning and execution of programmatic development, special initiatives, and quality improvement activities. She participates on both MCPAP and MCPAP for Moms Leadership Teams. She is responsible for managing the daily, weekly, and monthly tasks required to keep both the MCPAP and MCPAP for Moms programs running efficiently. 

Position Responsibilities:

  • Serves as primary central administration liaison for MCPAP & MCPAP for Moms (M4M) regional teams, and is first responder for problem-solving.Manages all program staff rosters, email groups, and contact information.

  • Responsible for implementation and oversight of new MCPAP/MCPAP for Moms 8x8 web-based telephone system critical to daily operations of both programs. Liaison with 8x8 vendor and with MBHP IT when necessary. Responsible for troubleshooting, liaison with 8x8 vendor, and MBHP IT; and connecting MCPAP/MCPAP for Moms host institutions’ IT with MBHP IT or 8x8 when necessary.

  • Manages schedules, meetings, events, trainings, and projects for MCPAP central administration and M4M leadership including: scheduling, invites and reminders; arranging meeting rooms and conference lines; developing agendas, taking and distributing minutes; and preparing materials.

  • Manages contracting process with MCPAP/M4M regional teams, interfacing with appropriate MBHP and Beacon Health Options contract staff.

  • Responsible for vendor contracting and payment, coordinating with MBHP and BHO finance staff. Serves as primary contact for vendors.

  • Monitors practice information in MCPAP and M4M Live, updating regularly in collaboration with regional teams when indicated.

  • Oversees operations for MCPAP for Moms, managing practice enrollment including documentation in M4M Live and maintaining Master OB Practice List; coordinating training and grand rounds including scheduling, reminders, and disseminating training materials; supporting and participating in the Leadership Team and supporting Medical Directors Group meetings; and managing external meetings for MCPAP for Moms.

  • Serves as back-up M4M care coordinator as needed; supports M4M care coordinators with researching resources to providers as needed.

  • Manages development, production, inventory, and revisions (when necessary) of MCPAP and M4M print, promotional, and training materials. Oversees distribution of materials to staff, medical practices, and key stakeholders. Serves as primary liaison with graphic design and print vendors.

  • Oversees planning, promotion, and operation of MCPAP and MCPAP for Moms educational /training webinars; provides post-webinar survey reports.

  • Manages all mass electronic communications:maintains Constant Contact account in good standing; maintains up-to-date contact database of enrolled providers and key stakeholders for both MCPAP and M4M; responsible for distribution of e-newsletters and action alerts.

  • Oversees planning and production of bi-monthly MCPAP newsletter and M4M alerts; reports on penetration quarterly.

  • Manages both MCPAP and M4M websites, monitoring and updating regularly, and posting new information to keep sites timely and useful; reports on website utilization quarterly

  • Maintains spreadsheet of MCPAP and M4M publications, events, presentations, conference attendance, media appearances, national attention, and feedback. Prepares quarterly report with this information.

  • Coordinates, supports and monitors MCPAP and M4M projects as assigned including but not limited to: monthly Clinical Conversations, annual provider experience surveys, and peer review processes.

  • Represents MCPAP and M4M at meetings, presentations, and conferences as requested.

  • Maintains regular M4M social media presence.

  • Collaboratively creates and maintains library of MCPAP and M4M presentations.

  • Oversees tabling at conferences and meetings for both MCPAP and M4M.

  • Manages ordering and inventory of supplies.

Position Requirements:

Education: BA or AA with equivalent and relevant experience required

Relevant Work Experience:   2 years related work experience, or relevant extracurricular activities during school

Knowledge, Skills & Abilities:

  • Experience in healthcare, behavioral healthcare, or human services setting preferred

  • Experience with scheduling, planning, coordinating, and taking meeting minutes

  • Excellent organizational and interpersonal skills

Our office is located at 1000 Washington Street and is accessible via Shuttle Bus service or Silver Line from South Station, we are also within walking distance of the New England Medical MBTA stop.  Great location!
