About The Position:

We are seeking a dynamic Medical Office Coordinator to be the voice of BCS to patients and visitors.  He or she will assist patients through the scheduling and registration process and address any general questions and concerns related to their appointments.  The role is responsible for greeting patients as they arrive, as well as for collecting and organizing patient medical records, patient forms, payment, and other information. The successful applicant will be based in Boston, but providing remote support telephonically for practice operations in several other regions of the country. 

In addition, the Medical Office Coordinator will manage the day-to-day operations of the practice, including assuming responsibility for various activities related to insurance including authorization requests, eligibility determinations, billing and payment reconciliation. 

Finally, he or she will provide administrative support for behavioral health clinicians and medical doctors and will act as the link between the clinicians, doctors, the patient, and outside agencies (e.g., other healthcare providers). This is an excellent opportunity for career growth; it is the first program in a new venture that has the potential to expand quickly to additional practice sites. 

Position Responsibilities:

  • Provide a range of administrative and clinical support appropriately and courteously – managing appointments (scheduling and reminders), checking patients in and out, triaging calls, maintaining patient records, and other duties as requested
  • Maintain and support electronic health records
  • Process, and reconcile payments, complete all billing functions
  • Assist onsite clinician with electronic and paper correspondence
  • Obtain prior authorizations and check insurance eligibility
  • Daily communication with clinicians

Position Requirements:

  • Must be positive, reliable, resourceful, proactive and efficient while maintaining an approachable and professional presence
  • Excellent customer service skills, telephone skills, basic computer skills, and attention to detail, and ability to multitask
  • Ability to handle patients under stress
  • Ability to work independently
  • Respectful and empathetic of patients and their families
  • Ability to travel on a periodic basis (e.g., once per quarter)
  • Any other duties/responsibilities as requested
  • Education: High School Diploma or GED required
  • Relevant Work Experience: Minimum of one (1) year experience working in an outpatient healthcare setting, experience with a practice management system, and bi-lingual skills such as Spanish preferred.
