About the Position:

Reporting to the Chief Executive Officer, the Executive Assistant provides high-level, confidential administrative support to the office of the CEO. Duties may be clerical, administrative and project-based and include scheduling travel, arranging meetings, handling information requests, preparing reports and correspondence and liaising with board members. This position is often privy to confidential information and as such, requires diplomacy and discretion.

Will work closely with the CEO’s Chief of Staff in regards to the office of the CEO initiatives and priorities.

Position Responsibilities:

  • Coordinates the CEO schedule and coverers incoming and outgoing call
  • Arranges all travel and tracks expense reports
  • Oversees executive leadership team meetings
  • Assists in preparing any and all board or executive materials needed for meetings
  • Prepares agenda’s and related documents for meetings as needed
  • Communicates with staff on behalf of the CEO and coordinated logistics for high leve meetings with other leaders
  • Drafts communications for all staff email updates
  • Supports President/CEO in his/her external commitments related to the company, including service on external boards, committees and other groups
  • Coordinates “deliver of the promise “nominees for presentation to the ELT for decisions.
  • Maintains active phone logs
  • Performs other duties as assigned.
  • Oversees the training and support of EA pool at for ELT members and approved timesheets
  • Will work closely with the CEO’s Chief of Staff in regards to the office of the CEO initiatives

Position Requirements:

Education: Bachelor’s degree or equivalent

Skills and Abilities: 

  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
  • Five to ten years providing support for upper-level management in a related organization
  • Strong interpersonal skills and the ability to build relationships with stakeholders, including staff, board members, and external partners
  • Proficiency in Windows, including MS Word, EXCEL and PowerPoint
  • Ability to work with confidential matters and materials
  • Ability to work independently and with professional discretion.
  • Excellent writing, editing, grammatical, organizational, and research skills.
  • Excellent, time-management, and problem-solving skills.
