ABOUT THE POSITION

We are currently seeking a dynamic Administrative Assistant to join our team at our office in Linthicum, MD  (Washington D.C).    The Administrative Assistant will provide a wide variety of administrative and staff support services to the Leadership Team. The administrative assistant must keep a comprehensive log of items discussed and debated during meetings, conferences, workshops and brainstorming sessions. These records, also known as minutes, may cover what was accomplished, said or set at the meeting, and may exclude individual opinions from group members. The Administrative Assistant may note the members who are present, record group decisions and write down actions in the order that they occurred. Once the session is complete, the administrative assistant must make formal reports and copies of the minutes for distribution. is responsible for tracking, monitoring, and coordinating Peer Reviews, Inpatient Pends, Psychological Testing Authorizations, and Department of Human Services (DHS) Fair Hearings. Under the direction of the Clinical Support Supervisor and VP of Clinical Services in coordination with the Medical Director.

Position Responsibilities:

  1. Performs a variety of complex  and confidential secretarial duties including developing and typing taped dictation or written correspondence
  2. Screen and provide telephone support using a multi-line phone system. 
  3. Keeps the office stocked on all supplies and orders additional supplies as needed.
  4. Keeps the kitchen area clean and completes a refrigerator clean out on a routine basis.
  5. Compiles reports, prepares agenda and distributes meeting minutes.
  6. Works independently and within a team on special and ongoing projects. Coordinates meetings and information requests; tracks and distributes information to team members; communicates with other departments and outside vendors as needed.
  7. Schedules and maintains calendar of appointments and meetings.
  8. Picks up mail from the post office twice per week and distributes all mail to the appropriate department. Check all outgoing mail for errors, adds postage and send out in a timely manner. This includes certified mail and packages.
  9. Order and pick up lunches for meetings as designated.
  10. Other duties as assigned.

Position Requirements:

Education:  Minimum of High School Diploma or equivalent.
Licensure:  Must have a valid driver’s license and transportation.

Relevant Work Experience:    
Minimum of five years supporting high level staff; demonstrated proficiency with complex calendar management; MS Office, including Word, Excel, PowerPoint and Outlook; and scheduling travel arrangements and filing expenses for management.
