ABOUT THE POSITION

We are currently seeking a dynamic Administrative Assistant to join our team at our office in Bellevue, WA.  The Administrative Assistant will be responsible for providing a variety of  quality, courteous, confidential, and professional administrative support to the ValueOptions Federal Services, Inc. Program Director, Operational Director, Call Center Managers/Supervisors, and other staff as appropriate; functions as the main contact for the ValueOptions Federal Services, Inc ® program, receiving incoming phone calls and mail for the staff and directing appropriately; purchasing program business supplies and coordinating overall adminstrative activities; providing administrative assistance on business and confidential issues; office management. Effectively manages travel schedules (e.g., arranging travel, coordinating with other executives).  Schedules and coordinates meetings, events, interviews, appointments, and/or other similar activities with various levels of management which may include coordinating calendars and travel with other personnel outside the department.         

Position Responsibilities:

  • Provide secretarial, administrative assistance, and office management for the Program Director and/or Operational Director and other executive or administrative staff on business and confidential issues. Take authorized action during the absence of the Program Director and/or Operational Director and use initiative and judgment to see that matters requiring attention are handled efficiently and effectively.

  • Schedule and organize complex activities such as meetings, travel and department activities.  Organize programs, events, meetings or conferences by arranging facilities and caterers, issuing information or invitations, coordinating speaking and controlling event budgets.  Prepare, reconcile and submit expense reports within business and federal policy guidelines.

  •   Provide office management and act as a liaison with property management personnel to ensure the maintenance, security, cleanliness, coordination of property activities, and other related property issues are addressed. Assist with facility related issues, working closely with the Beacon Health Options facility staff.

  • Send email communication to the ValueOptions Federal Services, Inc ® employees on a variety of announcements and updates. As needed, track responses, survey results, training completion and other projects as requested.

  • Complete all business and office/kitchen supply ordering.  Work closely with vendors and the federal purchasing dept. to ensure ordering is within budget and supplies are replenished in a timely and efficient manner. Maintain the break area/kitchen including cleaning rotations and organizing supplies.  Assist with supply requests by submitting bids to support our small business goals when indicated.

  • Work independently and within a team on special and ongoing projects.  Proactively identify needs and share proposed solutions with manager.
  • Establish, maintain, and update files, databases, records, and/or other documents.  Develop new processes, streamline procedures and enhance administrative consistency across functional area.

  • Perform research and analysis on specific issues, as required, and independently prepare non-routine letters and/or reports, which may be highly sensitive and confidential in nature.

  • May be called on to perform other duties and other responsibilities related to the engagement center activities in order to maintain critical processes and programs under the direction of existing policies and procedures.

Position Requirements:

Education: Associate’s degree in Business Administration/Management or English.  In lieu of associate’s degree two years administrative experience working with executive management and relevant work experience as listed below               

Relevant Work Experience:  Four years’ experience working in an administrative support role.  Advance PC skills (MS  Windows, Word, Excel, Outlook) required.
