Job Description


We are currently seeking a dynamic Administrative Assistant to join our team at our office in Seven Fields, PA.   The Administrative Assistant is responsible for tracking, monitoring, and coordinating Peer Reviews, Inpatient Pends, Psychological Testing Authorizations, and Department of Human Services (DHS) Fair Hearings. Under the direction of the Clinical Support Supervisor and VP of Clinical Services in coordination with the Medical Director.

Position Responsibilities:

  1. Schedule Peer Reviews and Consultations within mandated turnaround times paying special attention to detail including but not limited to the Evaluator(s), or their delegate(s), and Peer Advisor availability. A corresponding Checklist will be filled out for each Peer Review or Consultation scheduled.
  2. Email all parties involved in the Peer Reviews and Consultations to ensure they have appropriate scheduling information as well due dates for letters. Emails are sent to the Peer Advisor, Care Manager/CAFS Coordinator, and Care Manager/CAFS Coordinator supervisor(s).
  3. Notify Care Manager/CAFS Coordinator and Care Manager/CAFS Coordinator supervisor(s) when a DHS Fair Hearing is filed, scheduled, and when a decision has been received. Coordinate scheduling of a Peer Advisor to be present for the DHS Fair Hearing.
  4. Complete Psychological Testing Authorizations.
  5. Notify appropriate parties of retrospective authorization requests provided to us by the Clinical Manager.
  6. Build inquiries for new Grievances and DHS Fair Hearings that are filed.
  7. Maintain Peer Review, Consultation, and DHS log.
  8. Mail Release of Information Forms and Medical Necessity Criteria requests.
  9. Work with strict turnaround times such as 1 hour, 24 hours, and two business days.
  10. Provide coverage in the absence of the Clinical Support Supervisor.
  11. Other duties as assigned.

Position Requirements:

Education:   High School Diploma or equivalent is required. An Associate’s Degree in office administration, business management, or computer applications preferred. Strong communications (written and verbal) skills and performance management skills. Knowledge of regulatory statutes/requirements. 

Relevant Work Experience:    One (1) - Two (2) years related administrative/office experience preferred.
