ABOUT THE POSITION

We are currently seeking a responsible and dynamic Administrative Assistant III to join our team at our office in Renton, WA.  The Administrative Assistant III performs a broad range of clerical and administrative tasks supporting an Onsite EAP program for a major client in the Puget Sound area.  The Administrative Assistant III provides program specific administrative support and/or directly supports the Program Manager.

Position Responsibilities:

  • Answering and directing phone calls; responding to telephone inquiries. Setting appointments for client employees who access the onsite EAP program.

  • Performing reception duties at the Onsite EAP office; processing intake paperwork as needed.

  • Maintaining clinical files as required.

  • Preparing correspondence and other information as needed for program operations or as requested by Program Manager.

  • Tabulating, tracking and reporting data and assisting Program Manager with preparation of quarterly program reports.

  • Scheduling meetings, layoff debriefings, awareness events and other Onsite EAP activities.  

  • Taking, transcribing and distributing meeting minutes.

  • Entering data into the data base as needed.

  • Providing other administrative support to a team of onsite EAP counselors, including submission of expense reports and compiling materials for health fairs and awareness events.

  • Performing general office management duties; inventory management and ordering materials and supplies for the operation of the Onsite EAP program; collaborating with peer Admin Assistant on projects as assigned.

    Position Requirements:

    Education: A High School diploma or equivalent is required; a Bachelor Degree is preferable. 

    Licensure:  None required.

    Relevant Work Experience:   Prefer at least three (3) years administrative/clerical experience in a managed care environment.

    Knowledge, Skills & Abilities:

  • Microsoft Office (Word, Outlook, Access, Excel & PowerPoint)

  • Attention to detail and accuracy

  • Excellent verbal and written communication skills
